Conference Planning Meetings will be held from 3:00 – 4:00 p.m. on Sundays
at the Maplewood Richmond Heights High School Research and Design Center.
To get to the parking lot closest to the entrance, use "MRH DIstrict Office" in your GPS.
The door to the Research & Design Center a few steps to the left of the District entrance.

Organizing Committees
The Annual Educating for Change Conference is run 100% by volunteers organized into Conference Committees. We would be thrilled to have you join us in our effort to connect educators across the lifespan and building networks to mobilize resources to promote progressive change! +Works with Youth Art Contest Committee to create a Flyer that reflects the theme of our Conference. +Organizes a GoogleSpreadsheet tracking who on the entire planning committee will distribute PR information to different organizations and districts in St. Louis. Checks in with planners to ask how their outreach is going. +Creates website information, email drafts, Facebook posts, Twitter posts, that will catch the attention of educators across St. Louis. +Contacts local organizations that might publicize our fair: Cooperating School Districts, News Channels, Newspapers, etc. |
Sponsorship |
+Tweeks Sponsorship Letter so it reflects this year’s theme +Emails and mails the sponsorship letter to past and potential businesses and organizations that might want to sponsor us or put an add in our program +Keeps an updated version of our conference budget and shares it with the group at every planning meeting +Collects sponsorship logos & works with the PR & Program committees to make sure these logos are advertised +Writes Thank You cards to all sponsors |
Table Displays |
+Sends out Call for Proposal widely for Table Displays +Collects, reviews & organizes proposals +Presents to the planning committee the different proposals, makes sure everyone is okay with who will be presenting at our conference +Communicates to table displayers that they have been “accepted” and give them all pertinent information (directions, times to set up, etc.) +Sets up tables the day before the fair |
Workshops |
+Collects, organizes and presents Workshop proposals to the ESJ Board +Votes on best Workshops that reflect our theme +Contacts Workshop presenters voted upon to invite them to present their Workshop +Communicates with workshop presenters all pertinent information (directions, room numbers, power points, technology access, etc.) +Greets presenters at the door, make sure they know what time to be where, gives them thank you cards, |
Keynote Presentation & Speakers |
+Organizes general plan for the Keynote Presentation; creates PowerPoint to show that reflects the order and content of our Keynote Presentation +Contacts potential speakers voted upon by ESJ Board members and invites them to speak at the conference and possibly to also lead a Workshop +Communicates with speakers about all pertinent information (directions, what to speak about, their power point slides, etc.) +Greets speakers at the door, makes sure they know what time to be where, gives them thank you cards, |
Logistics & Volunteers |
+Sets up Registration and links it to our website (including food options) +Collects and organizes Registration +Sets up the Registration table the day before the Conference (sign in sheets, name tags, bags, money box, signs, etc.) +Creates Floor Plan +Organizes Volunteer Staffing +Creates & Collects Feedback Forms +Purchases and sets up materials needed for the day of the event (Balloons, Parking/No Parking Signs, Coat check +Creates Parking Directions with public transportation stops as well +Creates & distributes Certificates of Completion for Attendees |
Courageous Educator Award |
+Tweaks “Call for Nominations” Letter/Email so that it reflects this year’s theme +Sends out and collects “Call for Nominations” +Presents all nominations to committee and Board at a Planning Meeting, takes a vote +Communicates with winner- Obtains bio & photo, gives directions to venue, greets at door, encourages them to prepare to say a few words to the audience +Prepares award (made by Joe Erker) +Prepares speech introduction and presents award at Keynote Presentation |
Youth Art Contest |
+Sends out "Call for Participation" widely to schools and youth programs through St. Louis +Collects submissions +Scans submissions and sends them to ESJ Board & Youth Art Contest Committee and takes a vote on winner & runners up +Communicates with winner and runners up +Prepares gift card to Blick's Art Studio and gift bag for winner +Presents artwork and winner at Conference |
Food & Drink |
+Contacts potential vendors that may donate food to us +Coordinates transport of food from restaurant to school +Sets up food tables (table cloths, napkins, plates, etc.) |
Program |
+Collects all information for the program and displays it in an attractive, readable way for our conference attendees (Itinerary, Sponsors, Speaker Bios, Table Display Titles, Workshop Titles, etc.) +Manage copying of the program & program cover |
